Your data belongs to you. Oak SEN Path is being built with privacy, security and trust at its core. This policy explains what information we collect, why we collect it, and the choices and rights you have.

Who we are

Oak SEN Path ("we", "us", "our") is a UK-based platform supporting families navigating Special Educational Needs and Disabilities (SEND) systems. We act as the data controller for personal information collected through this website.

What we collect

• Contact details you provide (name, email, role).
• Optional information you share via the waitlist or surveys (e.g. challenges, journey stage).
• Basic technical data needed to deliver and secure the site.
• Cookie preferences (see our Cookie Policy).

Why we use it

• To send you early-access updates you have explicitly opted into.
• To shape the product around the real needs of SEND families.
• To meet our legal, security and accounting obligations.

Lawful bases

We process information on the basis of your consent (for the waitlist, surveys and marketing communications) and our legitimate interests in operating and securing the service.

Special category data

As you use Oak SEN Path, you may choose to add information about a child's diagnoses, health, or educational needs. This is special category data under UK GDPR. We only process this information with your explicit consent, or where necessary to provide the support features you have asked us to provide. This information is held with additional safeguards and is never used for marketing purposes.

Sharing

We do not sell your data. We only share information with trusted processors (e.g. hosting, email delivery) under contract and on a need-to-know basis, and where required by law.

Retention

We keep waitlist and survey information for up to 12 months, or until you ask us to delete it, whichever is sooner. If you become a platform user, we retain account information for as long as your account is active, and for a reasonable period afterwards to meet legal and accounting obligations. You can request deletion at any time.

Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict or object to processing of your data, and to data portability. You may withdraw consent at any time without affecting prior lawful processing. To exercise any of these rights, contact us at privacy@oaksenpath.com.

Complaints

You also have the right to lodge a complaint with the UK Information Commissioner's Office (ico.org.uk).

Security

We take appropriate technical and organisational measures to protect your information, including encryption in transit, restricted access and regular review of our security practices.
